At Chocolate Club, we respect your privacy. This policy explains how we use personal information when you visit our website, contact us, sign up for updates or text messages, apply to contribute to an event, or book an experience through a linked ticketing service.
1. Who is responsible for your information?

This policy covers our website and communications for Chocolate Club and Conscious Gatherings, including Ecstatic Dance Festival Holland and Het Grote Fijne. A third-party booking, payment or social media service may also have its own privacy policy when you use it.
2. What information do we collect, and why?
We only ask for the information needed for the relevant activity:

Information: IP address, device and browser information, pages visited, approximate location, cookie choices and technical logs

Information: Your name, email address, telephone number if provided, and the content of your message
Why: To answer your question and follow up

Buy a ticket or book accommodation through our ticketing partner
Information: Booking and contact details, ticket type, event, transaction status and any information you choose to provide
Why: To administer your booking, provide event information, assist you and meet accounting duties

Subscribe to email updates
Information: Your email address, name if provided, subscription preferences and signup record
Why: To send the updates you requested and manage your subscription

Sign up for text messages

Why: To send the messages you requested, manage the messaging service and honour opt-outs

If you provide information about someone else, such as another attendee, please make sure you are allowed to share it and that they can access this policy. Please avoid including sensitive health information in general contact or application forms. If accessibility or dietary information is needed for an event, we will explain its use at the point of collection and handle it with additional care.
Information required to complete a booking or reply to a request will be indicated where you enter it. If you do not provide it, we may be unable to complete that booking or respond properly. Email and SMS marketing are optional and are never a condition of buying a ticket.
3. Tickets, payments and embedded services
Our website may show a ticketing widget or link to Hipsy. If you book through Hipsy, it collects and processes booking and payment information under its own privacy notice. We may receive the information needed to manage your booking and event attendance. Payment card details are handled by the relevant payment provider; we do not need your full card number for event administration.
Other content, such as embedded videos or social media features, may connect to external services. Please also review the privacy notices of external services before using them.
4. Email and SMS messages
We use Mailchimp to manage and send our email newsletters and marketing text messages. Mailchimp processes the contact details, subscription preferences and consent records needed for these services. You can unsubscribe from emails using the link in each email. You can stop marketing text messages using the unsubscribe link included in each text message or by contacting us at connect@chocolateclub.world. We may send a final confirmation of your SMS opt-out. We keep the minimum information needed to respect your choice and avoid contacting you again by mistake.
We may still send necessary information about a booking or an event you are attending. We do not treat a ticket purchase as consent to recurring promotional SMS. Our Messaging Terms & Conditions explain the practical terms of our text-message service.
5. Cookies and advertising tools
The website uses necessary technologies to function and remember privacy choices. If enabled on the website, optional analytics, advertising pixels and embedded content may collect information about how you use the site and may share it with their providers. We request consent before using non-essential cookies or similar tracking where the law requires it. You can refuse or withdraw that consent through Cookie settings on the website without losing access to the main site.
The cookie settings identify the actual tools used, their providers, purposes and lifetimes. If Google Analytics 4 or the Meta Pixel is enabled, its use is reflected in those settings and in the consent implementation. External services may process information under their own terms.
6. Who receives information?
We share information only where needed with service providers that help us operate the website, manage bookings, host data, send email or SMS, process payments and run events. This includes Mailchimp for newsletters and marketing text messages, and may include our ticketing partner Hipsy and our website hosting and analytics providers. Relevant event team members and contractors may access information needed for their roles. We may also share information when required by law or necessary to protect legal rights.
We do not sell your personal information.
Mailchimp processes customer data in the United States. Mailchimp states that it is covered by Intuit’s certification under the EU-U.S. Data Privacy Framework and that its Data Processing Addendum incorporates the EU Standard Contractual Clauses. Its subprocessors may also process data outside the European Economic Area. Other providers may process information outside the EEA. Where a transfer needs safeguards, we use an applicable adequacy decision or appropriate contractual safeguards and, where needed, supplementary measures. Contact us if you would like information about safeguards relevant to your data.
7. How long do we keep information?
We keep personal information only as long as needed for the purposes above, unless the law requires longer retention:
- Booking and invoice records that form part of our tax administration: generally seven years under Dutch tax recordkeeping rules.
- Email and SMS subscriptions: until you unsubscribe or we stop the service; we then retain a minimal suppression record for as long as needed to respect the opt-out.
- Enquiries, applications, feedback and website logs: for the period needed to handle the request, organise the relevant event, maintain site security or resolve a dispute, followed by deletion or anonymisation under our internal retention schedule.
- Cookie and tracking information: according to the periods shown in our live cookie settings and the relevant provider settings.
We review information that is no longer needed and delete or anonymise it where possible.
8. Your choices and rights
Depending on the circumstances, you can ask us to access, correct or delete your personal information, restrict or object to its use, or receive a portable copy. You can withdraw consent at any time; this does not affect processing that took place before withdrawal. You may object to direct marketing at any time.
Email connect@chocolateclub.world with your request. We may ask for information needed to verify your identity. We will normally respond within one month. You can also lodge a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.
9. Security and children
We use appropriate technical and organisational measures to protect information, including access controls and service providers with relevant security measures. No online service can guarantee absolute security.
Our event information may include family or child tickets. A parent or guardian should provide any information needed to book for a child. We do not intentionally send marketing messages directly to children.
10. Changes to this policy
We may update this policy when our services or data practices change. The latest version will be published on this page with an updated date. If a change materially affects how we use information already collected, we will take any further steps required by law.
